Wedding planning tools range from a plain spreadsheet to dedicated apps with guest list management, budget tracking, and vendor communication built in. The right choice depends less on features and more on which one you'll actually keep using through the less exciting middle months of planning.

A spreadsheet works well if

You're comfortable building your own structure, want full control over exactly what's tracked, and don't need guests to interact with anything directly (submit their own address, RSVP online, and so on). It's also the cheapest option by a wide margin, since it costs nothing beyond time.

A dedicated app or wedding website tool works well if

You want guests to self-serve (submitting their own postal address, RSVPing, seeing schedule and travel details) without you manually chasing everyone individually, and you'd rather a tool handle the structure for you rather than building your own from scratch.

A guest-facing website or app for anything guests need to interact with directly, alongside a private spreadsheet or notes document for the internal planning details (vendor contracts, payment schedules, personal to-do lists) that guests never need to see.
